This document sets out, in broad terms, your role at Datacraft Design Limited

Implementations

  • Supervise software installations
  • Liaise with clients’ IT representatives
  • Chair client project meetings
  • Take accurate minutes
  • Maintain progress reports
  • Liaise with Support manager for resource

Client Liaison

  • Respond to Invitation to Tender (ITT) requests
  • Provide written proposals for prospects/clients where requested
  • Produce accurate and appropriate quotations
  • Sell Datacraft Design Limited’s services (eg. Project management, report writing and programming)
  • Conduct software demonstrations of all Datacraft Design Limited’s products

Software Demonstrations

  • Identify and qualify client needs and specific requirements
  • Demonstrate and explain functionality of all company products
  • Provide advice on appropriateness of product within a particular organisation
  • Arrange and conduct reference visits

It is essential that you are completely familiar with the total functionality of all Datacraft’s products.

Prospect/Client Liaison

Your objective in prospect/client liaison is to develop and maintain a feeling of "partnership" between them and Datacraft Design Limited as well as to identify both negative and positive perceptions of our products and services. Ultimately, your role is to ensure that Datacraft’s products succeed at every site and that further business will ensue.

Discuss tactfully any problems that clients have with the system, where possible remedying any misconceptions they may have or leaving them assured that their concerns will be evaluated. Report such problems so that the seriousness of any omissions or defects can be gauged and also those opportunities for “billable” developments which can then be identified.

Also report positive responses to the system, particularly people that have "seen the light", or who have arrived at novel solutions to handling problems that the program was not designed to address. These provide valuable marketing "war stories" as well as further input for future enhancements to the program.

At all times deal courteously with clients. Encourage clients to talk about themselves and their jobs. In all methods of communication (whether it be by letter, by telephone, by email and fax) ensure that you are polite, accurate in the information you convey.

On-site Training

You may be asked to conduct some on-site training. In which case you will train the client’s personnel to agreed levels. Broadly speaking, four levels are recognised: Awareness, User, Administrator and Trainer.

Whilst training, provide whatever degree of implicit consultancy may be required to ensure that the system is succeeding at the site in question.

When training an administrator at a new installation, it is not your role to configure the system, but it is essential that you tactfully ensure that a workable configuration results.

Consultancy

Consulting with current and prospective clients to assess their needs and concerns, you will provide advice on Datacraft’s products and associated services. You should also identify and recommend ways to improve their business activities in relation to Datacraft’s products.

A separate objective during your consultations will be the recognition of future business opportunities for Datacraft’s existing and new products.

Record Keeping

It is important that you maintain accurate and up-to-date records of all prospect/client activity and make this available to other members of staff. This is particularly important at holiday periods. You will report your sales activities on a weekly basis to the Managing Director or her nominated representative.

Other Duties

Given the small nature of the company and the paramount importance we attach to our relationships with our clients, you may from time-to-time be required to perform other tasks within your capability but not normally regarded as your particular responsibility. You may also be asked to travel to sites outside the UK. You should be in possession of a valid passport.

Global Hospitality Suite™ is the City's most popular Room Booking system. It is in use at over 220 sites and manages meeting room bookings and the reservation of all other associated facilities such as refreshments, meals and equipment.

Global Hospitality Suite™ has over half a million users spread throughout most of the key financial institutions, major management consultancies and the city's top law firms.

Because it is highly configurable the database can be customised to reflect each building's particular characteristics.

There is much demand for Global Hospitality Web™, Global Hospitality Suite™'s browser-based interface. Potentially, this allows everyone in the firm the ability to view meeting room availability and place requests for food and audio/visual equipment to be delivered by the appropriate facility provider. Large firms have a need for multiple levels of user access to suit a wide spectrum of staff. Security of information is paramount.

Designing any web application that is going to be used by thousands of highly demanding people is no easy task. Many users are well practised at surfing the net and have come to expect a high standard of user interface that is quick and easy to follow. Moreover, they need the browser to give them confidence that their request for a meeting room has been acknowledged and executed. It is therefore, very important that the look and feel of the application should provide this comfort.

Global Hospitality Web™ allows web pages to be designed in the house-style of our clients' own web sites, yet incorporates dynamic data from a customised Global Hospitality Suite™ database. Designing and creating the software to enable such tailoring is quite a challenge. It requires intense understanding of the high-profile nature of the software and the importance to large firms. It also requires attention to detail and a great deal of patience in understanding that users depend upon the software to carry out their daily work.
