MS Outlook Integration
Users can book meeting rooms directly in their MS Outlook, at the same time as creating a meeting appointment. The meeting booking is automatically created in Global Hospitality Web. Two-way integration keeps the calendar appointment and the room booking in-sync at all times.
This offers a true “one stop shop” for all booking needs for an end user, with seamless integration between the calendaring and meetings management applications.
When a receptionist or room booker edits a booking in Global Hospitality Web, the MS Outlook appointment is automatically updated with live data. Further updates can then be sent to attendees’ calendars. In addition, if a meeting host cancels a calendar appointment, the associated room booking is automatically placed on the cancellations list in Global Hospitality Web, freeing up space and reducing “no shows”.
The following booking features are available to end users via their calendars:
| ► | Room bookings and booking requests are made via Microsoft Outlook |
| ► | Acceptance or rejection of requests is automatically communicated to the host |
| ► | Attendees receive Outlook notifications |
| ► | Real-time room availability and scheduling from within Microsoft Outlook |
| ► | Meeting requirements are input directly into Global Hospitality Web |
| ► | Global Hospitality Web is automatically updated when meetings are changed or cancelled in Microsoft Outlook – and vice versa. |
| ► | Meeting facilities/catering/resources booked via Microsoft Outlook are input directly into Global Hospitality Web |
| ► | External visitor registration |
| ► | Bookings made via Global Hospitality Suite create Microsoft Outlook appointments |
