Lotus Notes Integration
Users can book meeting rooms directly in their Lotus Notes Calendar, at the same time as creating a meeting appointment. The meeting booking is automatically created in Global Hospitality Web and full integration keeps the room booking in-sync with the calendar appointment at all times.
This offers a true “one stop shop” for all booking needs for an end user, with seamless integration between the calendaring and meetings management applications.
When a receptionist or room booker edits a booking in Global Hospitality Web, the Lotus Notes appointment is automatically updated with live data when opened. In addition, if a meeting host cancels a calendar appointment, the associated room booking is automatically placed on the cancellations list in Global Hospitality Web, freeing up space and reducing “no shows”.
The following booking features are available to end users via their calendars:
| ► | Booking or requesting rooms via Lotus Notes Appointments |
| ► | Booking a room for single, re-occurring or multipoint meetings |
| ► | Adding catering, services and other requirements associated with the meeting room booking |
| ► | Adding appointment attendees seamlessly as visitors to the meeting room booking |
| ► | Editing a calendar appointment will update the associated room booking too |
The Calendar Integration Module can be used to supplement the booking features of Global Hospitality Web.
Users can now be given the power to book via the web interface or directly in their Lotus Notes Calendar, allowing a single portal for users to arrange the meeting appointment and corresponding room.
